Planning A Course Or Activity

For a one-time event or special class session:

  1. Please request new simulation activities 3 months prior to the scheduled class. All other requests should be submitted at least 4 weeks before the activity.
  2. Requests are subject to lab availability and regularly scheduled courses have priority.
  3.  Send an email requesting to schedule an event to simctr@uw.edu
    1. You will receive a reply within 3 business days with a link to an event request form.
  4. If your request is for a room only and the room is available, a calendar invite for the day/time/room will be sent to the requestor, sim staff and others supporting the event from the simctr@uw.edu account, reserving the rooms for your event.
  5. Once the form is submitted, a planning meeting will be scheduled to discuss your event if you require:
    • Set up support
    • Sim or equipment support
    • Supplies ordered
    • Multiple rooms
    • Any other advanced support
  1. After the planning meeting, a calendar invite for the day/time/room(s) will be sent to requestor, sim staff and others supporting the class from the simctr@uw.edu account.

For classes with re-occurring sessions:

  1. Your class days/times are reserved in advance based on the published program visual schedule.
  2. Please request class activities no later than no later the quarter before your class meets (about 10 weeks) using the event request form. A sim educator or TA will follow up on your request.
  3. Alternatively, you may be contacted no later than the quarter before your class by a sim educator or TA via simctr@uw.edu to schedule a meeting to discuss the following:
    • Specific room needs
    • Actual dates needed
    • Supplies required
    • Equipment required
    • Set up details, etc
  4. Once class dates are determined, a calendar invite with days/times/rooms will be sent to faculty, sim staff and others supporting the class from the simctr@uw.edu account, reserving the rooms for your event along.
  5. You may have additional meetings with the Sim Educator or TA assigned to support your class to clarify set up guides, supplies, etc. ​​​​​​​
